An ATM replacement involves more than moving equipment. Before you agree to a new machine, establish who owns the current one, what the existing agreement requires and how customers will get cash during the changeover.
Start with the agreement you already have
Find the signed agreement and any renewals. Check the end date, notice period, removal terms and whether the machine is provider-owned or belongs to your business. Do not assume an equipment change ends a processing or placement agreement. Ask the current provider to explain any charges in writing.
If you are comparing a new arrangement, our costs and contract guide gives you questions to ask about fees, renewal and service responsibilities.
Identify what is actually changing
You might need new equipment, a different cash-loading arrangement, a processing review or a combination. Write down the current model, communication method and the problem you want to solve. Avoid buying a replacement before confirming that the proposed processor supports the equipment and your business.
Compare placement and ownership by responsibility rather than by the machine alone. A provider-owned installation and a store-owned installation can require very different work from your staff.
Agree how cash and records will be reconciled
Confirm who owns the remaining cash, who will reconcile it and who will retain withdrawal and settlement records. Keep account numbers, balances and access procedures out of an ordinary inquiry form. Discuss sensitive details directly through an agreed secure channel.
Plan the handover around the store
Coordinate removal, delivery, connection checks and a test transaction. Ask who will be present and what happens if installation is delayed. Your team should know whether the existing ATM will remain available until the replacement is ready.
Check the planned location with your compliance lead and review the official state resources. A previous machine's position is not proof that the same arrangement meets current requirements.
Bring a short changeover brief
- The current agreement and notice dates.
- Equipment model and ownership.
- The cash-funding and loading arrangement you want.
- Store hours and practical service-access constraints.
- The person responsible for approving the change.
Use the consultation checklist to prepare. We can discuss the options; equipment, processing acceptance and timing are confirmed for your location before an arrangement is agreed.
Next step
Talk through the ATM for your dispensary.
Tell us your state, your license status and what you have today. We’ll walk through placement, ownership or a processing review and confirm what is available for your location.
